How to Automate Proposal Creation with Jasper & Zapier
✅ 1. Build a Modular AI Workflow Starting with Transcribed Meeting Notes
The automation process begins with capturing discovery call notes through tools like Read AI, which transcribes meetings. These notes are filtered by meeting title (e.g., “Strategy Session” or “Discovery Call”) using conditional logic in Zapier, to ensure only relevant transcripts move into the workflow. This allows teams to bypass manual review and streamline the input source into Jasper or ClickUp.
Lesson: Define consistent naming conventions across all data/documents and use AI filters to trigger the right flow. This minimizes noise and maximizes automation precision.
✅ 2. Use Jasper’s Knowledge Base + Templates to Auto-Draft Proposals
Once filtered, the meeting notes are routed into Jasper, which uses pre-loaded templates and tagged client knowledge (like branding guides or previous proposals) to generate first-draft proposals. These drafts are then attached to ClickUp tasks, enabling human review before client delivery.
Lesson: Centralize branded and client-specific content in Jasper’s “Groups” for consistent, scalable output. Jasper acts as a client-specific RAG (Retrieval-Augmented Generation) system that learns with every use.
✅ 3. Automate Output-to-Task Creation with Zapier + ClickUp AI
The final automations links Jasper output back into ClickUp and into our OS CRM where the proposal is sent to the client. Upon signing they are sent the invoice and upon payment they are given a link to book their onboarding session. Using Zapier, the team assigns a new ClickUp task with the proposal link, which prompts human review. Additional AI-powered automations inside ClickUp generate subtasks, auto-assign team members, and even summarize briefs.
Lesson: Close the loop by automating task creation and assignment. This ensures no proposal draft sits idle and AI output becomes actionable immediately.
